Livingston & Big Timber Program Manager

Job Description

Big Brothers Big Sisters of Big Sky Country has been serving the youth of Southwest Montana for 50 years. Our mission is to create and support one-to-one mentoring relationships that ignite the power and promise of youth.

Overview of Position

The Livingston & Big Timber Program Manager is responsible for managing both site-based (SB) and community based (CB) programs in Livingston, MT and site-based (SB) programming in the Big Timber, MT community. This includes enrollment, early match process and match facilitation and support to ensure child safety, positive impacts for youth, and constructive and satisfying relationships between youth and volunteers. This role requires a high-level of customer service and organization, focusing on youth safety and youth and volunteer needs throughout the program (including enrollment and matching). This role is also key in creating a strong sense of affiliation with BBBS on the part of program participants and school leadership and staff.

Role Responsibilities and Duties

  1. Follow BBBS Standards and Service Delivery Model for all program steps.

  2. Manage Big & Little recruitment for both Livingston and Big Timber site-based programming.

  3. Manage Big & Little recruitment for the Livingston community-based program.

  4. Manage enrollment of Bigs & Littles, including interviews, and ensure all paperwork is collected in an accurate, timely manner.

  5. Facilitate matching process, supervision, closure for program participants.

  6. Manage match support contacts for SB program participants and ensure they are completed on time and documented according to BBBS standards.

  7. Prepare and facilitate training for Bigs & Littles.

  8. Coordinate and oversee program activities in Livingston, ensuring child safety at all times.

  9. Develop and execute a calendar of community events including Match Activities, Big Meet-Ups, and an annual Match Appreciation Event in collaboration with the program team.

  10. Ensure that any problems and/or questions from youth, volunteers, parents/guardians, teachers, and school administration are promptly and courteously resolved.

  11. Collaboratively work as a team member with our Bozeman Program Manager and Match Support Specialist, as well as other BBBS staff.

  12. Proactively and professionally communicate with other team members in person and across a number of virtual platforms (e.g. Gmail, Slack, Zoom, etc.)

  13. Support Volunteer Recognition for Bigs (ex. Big of the Year)

  14. Facilitate continual contact with school administration and troubleshoot any problems.

  15. Attend community networking and outreach events as appropriate.

  16. This position will be the main point of contact for the BBBS Livingston and Big Timber communities. This position will also be responsible for maintaining the Livingston office space and should work in the office multiple days per week to maintain a community presence.

Other Responsibilities

  1. Support fundraising efforts, including attending the annual Big Event fundraising gala in Bozeman, Bowl for Kids Sake, and the Big One Event in Livingston to assist the BBBS team.

  2. Participate in BBBS staff meetings and retreats.

  3. Work in close coordination with other BBBS team members to coordinate outreach and networking efforts.

  4. Other duties as assigned.

Knowledge, Skills, and Abilities

The person in this position must demonstrate strong written and verbal communication, attention to detail, and organizational and time management skills. Ability to confidently apply strong interpersonal and social-emotional skills with adults and youth in a range of cultural environments. Possess a strong ability to work independently. General awareness of resources available in the community. Knowledge of best practices in Child Safety, Trauma-Informed Care, and Equity and Inclusion (BBBS will provide further training in these areas). This position will be a hybrid position with an expected work schedule of 50% in the Livingston office. One day a week will be spent in Big Timber facilitating the site-based programming in that community.

Education and Experience

Bachelor’s degree from an accredited college or university (social services, education, human resources, or related field preferred) or at least one year experience with social service organizations.

This position will report directly to the Program Director.

Pay is DOE and will range from $18-$20 per hour.
